Time Entry

The Adding Time and Expense functionality is used to enter your time and expenses, billable or non-billable, against a specific Project or Project Task. Time Entries are linked to the specific Tasks, while expenses are linked to specific Expense Types, which you have already added in the setup.

Note: Time entry per day and/or billing period limitations can be set up in the MaximumHoursPerDay and MinimumHoursPerDay System Options. The user must have proper permission to execute this functionality. Selecting the department head check box on the Edit — User profile in the Admin module is required.

Adding Time

Time can be entered from the:

  • My Time Entry Profile page (Preferred)
  • Project Profile page.

Adding Time From the Time Entry Profile

Every user logged into NetForum has a Time Entry Profile that can be found in the Time Entry group item within the Time module.

To add Time from the Time Entry Profile, complete the following steps:

  1. Expand the Module Menu in NetForum.
  2. Click the Time hyperlink to launch the Time module.
  3. Hover over the Time Entry group item to expand the Time Entry fly-out menu.
  4. Click the Time Entry Profile link to open your Time Entry Profile.
  5. Click the Add Time icon located in the Action Bar of the Time Entry Profile.

    This will open the User Time Entry pop-up window.

  6. The login name field will auto-populate to your NetForum user ID.
  7. Expand the project drop-down menu and select the Project this time will be charged against.

    The selection you make in the project menu will load the project task and work type menus with choices that are associated to the Project chosen.

  8. Expand the project task drop-down menu and select the Project Task for which you will be entering time.
  9. Expand the work type drop-down menu and select the Work Type for which you will be entering time.
  10. Click the billable? checkbox if this time is to be billed. You may leave it blank if it is not to be billed.
  11. Enter the amount of time you are recording in the hours field.

    Note: You may also use fractions of hours to enter time (in the form of decimals) within the Time module. For example, if a project was worked on for 1 hour and 45 minutes, enter 1.75 in the hours field.

  12. Enter a short description of specifically what time is being entered in the description field.
  13. Click the Save button.

    Based on the date the newly added time entry will be visible on the appropriate child form on the Time Entry Profile page.

Adding Time from the Project Profile Page

To add Time from the Time Entry Profile, complete the following steps,

  1. Expand the Module Menu in NetForum.
  2. Click the Time hyperlink to launch the Time module.
  3. Hover over the Project group item to expand the Project fly-out menu.
  4. Use the Find or List functions to locate the Project to which you would like to add a Time Entry.
  5. Click the Goto go to icon next to the Project name from your list of results to open that Project Profile page.
  6. Click the Add Time icon located in the Action Bar of the Project Profile.

    This will open the Edit - Project Time Entry pop-up window.

  7. The login name field will auto-populate to your NetForum user ID.
  8. The project field will auto-populate the name of the Project whose profile you are working with.
  9. Expand the project task drop-down menu and select the Project Task for which you will be entering time.
  10. Expand the work type drop-down menu and select the Work Type for which you will be entering time.
  11. Click the billable? checkbox if this time is to be billed. You may leave it blank if it is not to be billed.
  12. Enter the amount of time you are recording in the hours field.
  13. Enter a short description of specifically what time is being entered in the description field.
  14. Click the Save button.

    The newly added Time Entry will now be visible on the time child form located on the Time tab on the Project Profile page.

Finding Time Entries

There are several ways to find or view Time Entries in NetForum.

Using the Find and List Functionality to Find a Time Entry

Use the standard Find and List options available under each group item in the Time module to find the object you are searching for.

Viewing Time Entries on the Project Profile Page

To view Time Entries on a Project Profile page complete the following steps,

  1. Use the Find or List functions to locate the Project whose Time Entries you would like to view.
  2. Click the GoTo go to icon next to the Project name from your list of results to open that Project Profile page.
  3. Click the More tab in the child form area of the Project Profile page to view the More fly-out menu.
  4. Click the Time hyperlink to view the Time tab.
  5. Expand the time child form to see all of the Time Entries for the selected Project.

Viewing Time Entries from the My Time Entry Profile

To view Time Entries on the My Time Entry Profile, complete the following steps:

  1. Hover over the Time Entry group item to expand the Time Entry fly-out menu.
  2. Click the Time Entry Profile link to open your Time Entry Profile.

    There are two tabs that deal specifically with Time Entries. These tabs are the Time tab and the Time Summary tab.

    Note: You may have to click the More tab to see the Time and Time Summary tab options.

    The Time tab has two child forms; time this week and time last week. These will show the Time Entries for the time period specified (this week or last week)

    The Time Summary tab also has two child forms; time this month and time last month. These will show the Time Entries for the time period specified.

  3. Open either the Time or the Time Summary tab and expand the child form that corresponds to the time frame you wish to view.

Managing a Time Entry

Regardless of the method used to view a Time Entry, each entry will have an Edit icon and a Delete icon.

Click the Edit icon to open that specific Time Entry up to make any changes needed.

Click the Delete icon to delete that Time Entry from NetForum. After clicking the Delete icon you will be presented with a pop-up window asking you to confirm the deletion.
